An app tailored for event producers, where you can easily and efficiently manage all the performances for your festival. With this app, you can: manage suppliers, contacts, a chat that reaches all contacts in real-time, and manage multiple teams simultaneously.

Problem Statement

Managing large-scale events such as festivals and conferences involves coordinating multiple teams, tasks, and schedules. Existing tools like WhatsApp and Google Sheets are often insufficient, leading to communication breakdowns, missed deadlines, and operational inefficiencies. Event producers need a centralized, intuitive platform to streamline communication and task management in real-time.

Objective

To design an event management app that enables event producers to effectively coordinate teams, manage schedules, and ensure seamless communication before and during live events. The app must cater to various stakeholders, including producers, technical staff, and volunteers, providing each with tailored tools to meet their specific needs.

Research Process

User Research

To understand the needs of potential users, I conducted:

  • Interviews with 10 event producers, 5 technical staff, and 5 volunteers.

  • Surveys distributed to a larger audience of 50 event professionals.

Key Insights:

  1. Producers struggle with real-time updates and task delegation across multiple communication channels.

  2. Technical teams often lack a centralized source for schedules and equipment requirements.

  3. Volunteers find it challenging to keep track of their roles and responsibilities during events.

  4. Current tools like Slack, Monday.com, and WhatsApp are either too general or fragmented for event-specific needs.

Competitive Analysis

Analyzed tools like Slack, Trello, and Monday.com:

  • Strengths: Flexibility, integration options, and scalability.

  • Weaknesses: Lack of real-time communication for on-the-ground teams and limited customization for event management.

User Flows

Designed intuitive user flows for the following key actions:

  • Adding and assigning tasks.

  • Viewing schedules and real-time updates.

  • Sending targeted communications to specific teams.

Reflection

This project allowed me to combine user-centered design principles with real-world problem-solving. By deeply understanding the workflows and pain points of event professionals, I was able to create a solution that is both intuitive and impactful. It reinforced my belief in the value of iterative design and the power of tailoring tools to specific industries.
